Roastloop: how a coffee subscription runs natively on Medusa

Customers pick bags that renew every 7, 14, or 30 days – the typical consumable pattern. Plans are configured in Admin, and subscribers can skip, swap, or pause self-serve, without opening support tickets.

Complex cadences and payment failures

We built Roastloop as a demo coffee store offering beans on flexible plans. The demo covers the two failure modes every subscription store hits:

  • Custom logic bloat: writing custom cron jobs inside Medusa to calculate dynamic shipping dates and handle renewal cycles became a nightmare to maintain.
  • Involuntary churn: failed credit cards and expired tokens resulted in instant cancellations, leaving the Roastloop team manually reaching out to customers.

Billing logic inside Medusa

Roastloop runs on Reorder's open-source Medusa plugin. Instead of custom database models, it uses Reorder's native schema for cadences, subscriptions, and billing cycles:

  • Out-of-the-box cadences: set up arbitrary intervals (e.g., 7 days, 14 days, 30 days) directly from the Medusa Admin panel.
  • Automatic renewals: let Reorder's renewal scheduler trigger payment capture and generate fulfillment orders automatically.
  • Plug-and-play Admin: the entire customer list and billing schedule managed directly from the Medusa dashboard without external SaaS systems.

What the demo proves out of the box

Roastloop is a reference build by the Reorder team – every capability below is inspectable in the demo store and Medusa Admin:

  • Dunning flows per spec: configurable retry schedule (e.g. after 2 and 4 days) with a renewal queue in Medusa Admin – failed renewals are retried before the subscription is cancelled.
  • Self-serve portal: customers skip renewals, swap coffee profiles, or pause delivery without opening support tickets.
  • Automated renewal order engine: Reorder schedules orders and captures payment, and Medusa's standard fulfillment workflow generates packing slips for the warehouse.
  • Native Medusa analytics: active subscriptions, MRR, churn rate, and growth charts visible inside the Roastloop Medusa Admin panel – no separate dashboard or SaaS syncing required.
